Department Information

Indiana University's Office of Online Education (OOE) seeks an IT Project Management Specialist to oversee administration and drive various coordination efforts related to the IU Expand platform. The OOE, in partnership with UITS' eLearning and Design Services (eDS), maintains the IU Expand platform, the university's professional and non-credit portal. IU Expand is IU's rebranding of Instructure's Canvas Catalog, which provides a customer interface for Canvas hosted courses and/or sites. IU Expand hosts over 2,000 unique courses with a cumulative enrollment in excess of 200,000. The platform brings continuing education courses, trainings, and specialty knowledge to IU students and employees as well as the general public.

Job Summary

The IT Project Management Specialist, IU Expand reports to OOE's Assistant Director for Finance and Administration. The position will liaison with OOE and UITS' eDS staff to oversee administrative management, client services, systems support, and implementation of digital badging and micro-credentialing for coursework hosted on the IU Expand platform. The ideal candidate is forward thinking and will work with colleagues to contribute to, craft, and convey platform best practices, administrative procedure, and communicate platform benefits as well as potential solutions with stakeholders.

This role is the prominent contributor to stakeholder onboarding, including platform introduction, and is responsible for the bridging of user experience with system processes and capabilities. A successful incumbent will navigate professional relationships with university administrators, faculty, deans, as well as technical and non-technical staff with tact and diplomacy to advocate and make forward strides towards implementation of system solutions, endorsement for course and programming standards, and course/program credentialing logistics - including badging - to cultivate IU Expand as a premiere destination for local, state, and national continuing and professional non-credit coursework and educational experiences.

Department-Specific Responsibilities:
  • Monitors, reviews, and audits Expand administrative documentation received via Qualtrics form submission. Communicates with departmental contacts and other stakeholders as needed to gather and share necessary information.
  • Initiates administrative documentation and tracks work flows. Organizes, stores, and tracks documentation in shared repository sites and tracking spreadsheets.
  • Evaluates pending and/or newly published IU Expand listings to ensure compliance with platform standards and completion of necessary administrative requirements. Approves of publication for listings which meet platform standards. Communicates with stakeholders to resolve platform standard compliance issues.
  • Serves as primary IU Expand Jira Administrator. Assigns, responds to, and follows-up on Jira tickets.
  • Learns, maintains, and applies technical and systems knowledge related to Qualtrics, Jira, Canvas, and Expand to troubleshoot stakeholder and system issues and proactively address complex workflow and system concerns that may negatively impact user experience.
  • Schedules and conducts initial consultation meetings with various constituents (deans, faculty and staff) to introduce and detail the possibilities of the IU Expand platform for their unique project or program.
  • Works with faculty/course instructors to appropriately set courses up in Expand and the university's badging system.
  • Promotes quality course content by supporting the implementation of digital badging and micro-credentials as appropriate for completion of platform courses and programs. Collaborates with OOE, eDS, and centers for teaching and learning to support, consult, and help execute university approved badging and micro-credentials affiliated with the completion of Expand hosted courses.
  • Consults with IU Expand workgroup to set, track, and monitor system enhancement priorities. Presents workgroup with updates and may network with higher education peers and colleagues regarding Canvas Catalog utilization.
  • Communicates platform processes and system knowledge with stakeholders via email, phone call, and meetings. Responsible for maintenance and updates to the Expand About page, IU's Knowledge Base, and existing Expand Pressbooks (IU Expand Catalog Creation Guide and IU Expand Learners Guide).
  • Works with OOE's marketing team to coordinate and help implement communication campaigns specific to various Expand initiatives.
General Responsibilities:
  • Responsible for the planning and implementation of IT project(s), often involving university staff from different teams and external partners on interrelated project tasks.
  • Designs, creates, executes, and manages project work plans and workflow documents; establishes project timelines and revises as appropriate to meet changing needs and requirements.
  • Manages budget and monitors progress of projects to ensure that quality and cost constraints are met.
  • Responsible for reporting and documenting project milestones to share with leaders, stakeholders, and/or project partners.
  • Researches and stays up-to-date with IT project management best practices, approaches, and trends.
  • May provide guidance and lead IT project support staff and/or hourly staff.


  • Bachelor's degree (preferably in a related field).

  • 2 years of technical project/program support or related experience.
  • Professional experience in a higher education setting, especially in a cross-functional team.
  • Systems management and/or work flow improvement work experience.
Combinations of related education and experience may be considered.


  • PMP Project Management Professional Certification upon hire.

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
