Job Description

Our Dallas office is seeking to hire a Business Immigration Operational Efficiency Supervisor (OES). This new role will work with high-volume legal teams and the clients they support. The OES will work closely with key stakeholders including attorneys, team leadership, and client contacts to manage data integrity, understand client reporting requirements, create and document business processes, and provide training related to data management initiatives. The ideal candidate will have 5+ years of experience in business immigration as well as experience analyzing and managing data sets to ensure accuracy and integrity. The OES must have experience not only in the details of data fields and workflow from input to output, but also in coordinating the execution of data management tasks in accordance with the Firm standards and strategic direction.

The OES will have primary responsibility for leading the data analysis function from end to end to ensure accuracy and to identify areas requiring focused attention. The OES will gather business requirements from stakeholders to create detailed process and training guides to be used by the legal teams to ensure continued data accuracy. The OES will compare newly created and existing processes against client data requirements and provide solutions for improvement and efficiency. The role requires a high level of understanding of immigration data, its use in case processing and in client program management. The OES will provide legal teams support in ensuring completeness of data, identifying gaps or potential issues and provide guidance and instruction on best practices for data management. The OES will support business intelligence output from reporting to dashboards and be creative in driving solutions based on business needs. The OES will maintain ongoing responsibility for data quality standards ensuring compliance and providing education and training on data quality as well as recommending solutions and processes to support our data fidelity goals.

  • Oversee and manage business data and processes with particular focus on identifying data management reports, analyzing data, monitoring client specific SLAs, and creating new business processes to ensure continued data integrity;
  • Ensure all business process outcomes are in harmony with strategic goals of client relationships;
  • Work collaboratively with Attorneys, team leadership, and legal team members to stabilize and improve the management of all business processes with a focus on data management and client deliverables;
  • Work collaboratively with legal teams in Kochi to ensure consistent updating and communication of processes and to oversee client specific projects;
  • Introduce, document and drive innovation into existing processes to impact results and assist the legal teams with meeting business objectives and goals;
  • Stay up to date on technology enhancements and Firm level recommendations for best practices;
  • Own creation and updating of team and client specific templates and communications in our system of record;
  • Foster positive relationships with all stakeholders, including Attorneys, team leaders, legal team members and client contacts;
  • Meet regularly with stakeholders to ensure client deliverables, SLAs, and projects run effectively;
  • Ensure that client contract terms and conditions are met by ensuring data management measures and process workflows are in place and being followed;
  • Oversee & coordinate data management and process flows as they relate to finance and billing related legal team and client needs;
  • Support legal teams in data analysis;
  • Oversee the preparation, timely running, and delivery of regular and ad hoc reporting to legal teams;
  • Provide reporting support to legal teams to aid in tracking the preparation and filing of immigration petitions and applications and to ensure data management initiative;
  • Act as a liaison between legal teams, data management resources, and corporate reporting teams to gather and analyze business requirements;
  • Direct the standardization of reporting requirements across legal teams and clients to facilitate efficiency improvements and manage custom reporting solutions, while coordinating with development teams to ensure deliver;
  • Work with legal teams to identify emerging trends by researching patterns and trends to convey data as a story and identify business risks and opportunities;
  • Work with technical partners utilizing statistical techniques such as data mining, predictive modelling, and machine learning, to enhance process workflows and data management initiative;
  • Provide structure to workflows, ensuring that they are clear, concise, and well documented;
  • Provide well organized and professional training to stakeholders as needed to ensure understanding of processes, data entry requirements, and adherence to client protocols and SLA agreements;
  • Solution issues with speed and efficiency;
  • Provide support for and drive project performance;
  • Provide project management support for new tools, practices, processes, projects, meetings and team and/or client efforts.
  • BA or BS degree preferred;
  • Minimum of 5 years of experience working in legal immigration environment, including knowledge of U.S. immigration regulations, visa categories, and business immigration case lifecycles;
  • Hands on experience processing variety of business immigration case types;
  • Experience using data visualization tools (such as Tableau) highly preferred;
  • 1-2 years of experience in data analysis including organizing, scheduling, and creating reports and review, manipulation and assessment of reports;
  • Ability to quickly learn and understand data sets and best practices for data entry during case processing within our proprietary case management and database system;
  • Ability to effect change and enforce data standards from input to output consistent with the Firm best practices and client protocols;
  • Advanced experience working in MS Excel, including demonstrated use of filters, conditional formatting, pivot tables, vlookup, formulas, index matches, and macros;
  • Demonstrated senior-level computer skills in MS Office;
  • Exceptional ability to visually present and communicate data, analyses and findings in business oriented manner and communicate with leaders who are new to emerging practices in data and analytics;
  • Ability to present ideas clearly and communicate value proposition of recommendations;
