Administrative Assistant (Branch Assistant)

Under the general supervision of the Branch Manager, the Branch Assistant handles the daily flow of work and administrative duties of the office. Ensures the various needs of Branch Managers are supported, as well as those of the Sales Associates.

Key Responsibilities:

  • Assists Sales Associates with orientation, set up & utilization of Long & Foster systems.
  • Keeps records of listings, sales, and settlements, and processes as required.
  • Assures compliance with preventative maintenance schedules for office ​equipment, and coordinates repair requests. Orders all necessary supplies. Monitors physical maintenance and cleanliness of office, reports problems to property manager and/or Branch Manager.
  • Maintains records on all MLS and company systems such as additions and transfers of Sales Associates.
  • Assists Sales Associates with the use of computer systems and office equipment.
  • Ensures full coverage and operation of phone system as needed. Creates and distributes letters, memoranda, and other general office correspondence. Organizes and maintains office digital files.
  • Comfortable with Social Media applications.
  • Assists in onboarding and orientation of new Sales Associates.
  • Informs Sales Associates of office policies and procedures and maintains records.

Job Requirements:

  • High school graduate or equivalent combination of training and experience.
  • Two years of general administrative/clerical experience preferred.
  • Must have strong computer skills with an extensive working knowledge of Microsoft Word products including MS Word, Excel, & PowerPoint.
  • Experienced with Social Media applications.
  • Excellent verbal/written communications skills
